A rare opportunity has arisen for a confident and proactive Executive Assistant and Office Manager to join a well-established and innovative company based in Paddock Wood.

You will provide high level, confidential administrative support to the Managing Director and General Manager with specific responsibilities for Office Management, Human Resources, Fleet and Insurance.

Job Specification

  • To support and assist the Managing Director and General Manager with administrative duties and specific project work
  • To manage the efficient running of the office - general administration, post and franking, ordering and maintaining stationary supplies, maintaining an organised filing system, arranging contractors and staff welfare
  • Maintaining internal personnel files, updating company records for all new starters and leavers and managing internal contact records and HR online records
  • Recording and monitoring absenteeism and sickness using HR online
  • General HR administration including accurate and timely issue of offers and new starter paperwork, company handbook and induction manual updates
  • Working with an external HR Consultant on any specific issues
  • Coordination of Health and Safety via liaison with outside H&S Management provider and ensuring the department managers have carried out and recorded their duties
  • Coordination with insurance brokers regarding any claims and renewals
  • General Fleet administration including temporary vehicle hire, congestion and crossing charges, fuel cards, tax and MOT, break-down coverage and penalty charge notices
  • Maintenance of driver records
  • Liaise with outside service providers for mobile phones, tablets and office phone systems and maintain accurate internal records for all company phones

Person Specification

  • Excellent communicator with the ability to liaise with people on all levels internally and externally
  • Strong administrator with great attention to detail
  • Must have excellent organisational skills and a methodical approach
  • Maintain high levels of confidentiality at all times
  • Have the ability to work with processes and procedures
  • Must have the ability to prioritise own work load and multitask
  • Great team player
